After meeting in class on Thursday and discussing the types of workshops we would be planning, those who are developing workshops decided it would be a good idea to visit BICAS to get a better understanding of the physical space, supplies, and perhaps past lessons specific to bikes/bike parts, for workshop planning.
Though I am not developing the workshops, I decided to go as well to establish myself in the space and with the staff. Shana and I were also hoping to ask some general questions about the art auction of Troy, since Casey is out of town. We were fortunate that it was a slow day at BICAS and Troy was available for us to talk to. Although Troy did not have many of the specific answers we were looking for, he did give us a better understanding of where BICAS is in the planning stages of the event and, in general, how they operate.
Promotions: The “call to artists” flyer is at the printer and will be available for us to distribute as of tomorrow. We asked Troy if he had a list of places he would like us to hit and he suggested the following:
Downtown/Congress area
4th Avenue Shops
UA
Galleries
Art supply stores
Coffee Shops
Bike Shops
He said he would look for their list of specific places and send our way.
Flyers/Posters: The event flyers are in the process of being designed and thus far are themed “El Loteria”. They may/may not need our help with event poster creation, but we will still need to create the individual workshop flyers. Flyer distribution is something that each group member will need to take part in, both for workshops and the event itself.
Donations: Casey has drafted a solicitation letter, which we should be able to use and/or modify for the items we are soliciting on their behalf.
Organization: Shana and I discussed our desire to help organize BICAS for their annual event. We discussed the possibility of creating a binder of information about specific aspects of the event, to-do sheets, and calendars that may be useful for staff, so that regardless of who takes lead, they know what needs to be done when. Not to mention the usefulness of having all the information about the event in one, accessible place. We also discussed the possibility that BICAS may not want this type of help or at least may not be ready for it. Moreover, it may be the type of project that needs to take place after the event, rather than during its implementation.
As facilitators, the grads will send an email to Casey, letting her know where we are in the planning stages of the items she suggested we tackle (art-making workshops, art solicitation, and promotions) and let her know our ideas and suggestions for other areas we can be of service. We are anxious to establish this contact as we feel time is short. At present, we have two solid areas in which we can work: 1) workshop development and 2) flyer distribution.
